For participants under 18, we consider their capacity to understand and consent to the proposed handling of their information. Where a participant cannot provide informed consent, we seek consent from a parent, guardian or other legally authorised person.

For adult participants, we do not assume that a parent, carer or person paying for services has authority to access their information. We seek the participant’s consent or confirm another lawful basis before sharing it.

We discuss appropriate information sharing with participants and their authorised supports. Confidentiality may be limited where disclosure is required or permitted by law, including in response to serious safety concerns.

5. When we share information

We may disclose relevant personal information to:

  • Staff and contracted mentors who need it to perform their roles.
  • Parents, guardians and authorised representatives, consistent with consent and legal authority.
  • Professionals or support coordinators involved in a participant’s support, where authorised.

  • Service providers supporting our bookings, communications, website, information storage and accounting.
  • Professional advisers, insurers, regulators or emergency services where necessary and legally permitted.

We limit information sharing to what is reasonably needed for the relevant purpose.

6. Online sessions, game servers and communities

When you participate in group sessions, game servers or community platforms, other participants may see your display name, messages, projects and other information you choose to share.

Please avoid posting private contact details, health information or other sensitive information in shared spaces. We cannot guarantee that other participants will keep shared information confidential.

Relevant community interactions and technical records may be used to administer our platforms, investigate incidents and support participant safety.

Third-party services, including Discord and Calendly, handle information under their own privacy policies and terms. Their age and account requirements also apply.

If we propose to record a session, we will explain the purpose, intended use and access arrangements beforehand and obtain any consent required by law.

7. Photos, testimonials and participant work

We seek separate, appropriate permission before using identifiable photographs, videos, testimonials or participant work for public promotion.

Declining promotional permission does not affect access to our services.

You can contact us to withdraw permission for future use. We will explain any practical limits on removing material already printed, published or shared by others.

8. Website information and cookies

Our website and third-party features may use cookies and similar technologies to operate correctly and support website functionality.
